Project Brief
Built an end-to-end owner onboarding system that unified compliance, data collection, and communication into a single, scalable UX flow.
02 — Challenge
The Challenge
Owner onboarding was fragmented, manual, and inconsistent. New property owners were required to submit information through a mix of emails, PDFs, phone calls, and follow-ups leading to confusion, delays, missing data, and reduced trust early in the relationship. Internally, this created operational strain: repeated clarification requests, compliance risk, and a slow handoff between sales, accounting, and maintenance teams. The challenge was to design an onboarding experience that felt simple and trustworthy for owners, while capturing complete, structured data for downstream systems

The Solution
I designed a centralized Owner Onboarding System that guided owners through a clear, step-by-step digital flow. The system consolidated legal agreements, property details, financial preferences, and communication expectations into a single experience removing ambiguity and reducing the need for manual follow-ups. The solution balanced user clarity with operational requirements, using conditional logic, progressive disclosure, and plain-language design to ensure the process felt approachable without sacrificing compliance or data integrity.

Discovery & Pain Point Mapping
Mapped the existing onboarding journey from first agreement to property activation and conducted stakeholder interviews to understand owner frustrations and internal operational bottlenecks.
User Research & Persona Development
Designed for multiple owner types from first-time landlords to experienced investors while accounting for legal, accounting, and operational dependencies. Designed for emotional states (confidence vs anxiety), not just task completion.
Journey Mapping & Information Architecture
Mapped the ideal onboarding journey from agreement to activation, then translated it into a structured, logical information hierarchy.
UX & Interaction Design
Designed a guided, step-by-step flow using progressive disclosure, conditional logic, and plain-language microcopy to reduce cognitive load.
Validation & Iteration
Tested flows against real-world edge cases (missing documents, multi-property owners, partial completion) and refined based on feedback.
